By requesting a quote, booking a consultation, or engaging Kwa Kuhle Group for any services, you agree to the following terms and conditions. Please read them carefully.

 

1. About us

Kwa Kuhle Group (also trading as Kwa Kuhle Hospitalities) provides catering, décor coordination, and event management services in East London and across the Eastern Cape, South Africa.

2. Quotations

All quotations are custom and based on the specific requirements of your event, including guest count, menu, location, décor needs, and setup preferences.

  • Quotations are provided within 12 to 24 hours of a completed quote request
  • Quotations are valid for 7 days from the date of issue unless otherwise stated
  • A quotation does not constitute a confirmed booking
  • Kwa Kuhle Group reserves the right to revise a quotation if event details change after the quote has been issued

 

3. Booking confirmation

Your booking is only confirmed once:

  • You have accepted the quotation in writing (via email or WhatsApp)
  • A deposit has been received in accordance with the agreed payment terms

Kwa Kuhle Group cannot hold a date without receipt of the deposit.

 

4. Payment terms

We offer the following payment structures:

  • Full payment upfront
  • 50% deposit at booking, with the balance due before the event date
  • Instalment plan — available by arrangement and subject to approval
  • Government clients — payment terms of up to 6 months may be accommodated by prior arrangement

 

All payments are due as agreed. Failure to meet payment deadlines may result in cancellation of the booking. Accepted payment methods will be confirmed at the time of quotation.

 

5. Deposits

Deposits are required to secure your event date and are non-refundable in the event of a cancellation by the client, except where Kwa Kuhle Group is unable to fulfil the booking.

The deposit amount will be stated clearly in your quotation.

 

6. Cancellation policy

If you need to cancel your booking:

  • Cancellations made more than 30 days before the event date: deposit forfeited; no further charges apply
  • Cancellations made 15 to 30 days before the event: 50% of the total booking value is payable
  • Cancellations made fewer than 14 days before the event: 100% of the total booking value is payable

 

All cancellations must be submitted in writing to kuhle@kwakuhle.com. Cancellation is effective from the date of written notification.

 

7. Postponements

Event postponements are subject to availability. Where a new date is agreed, the original deposit will be applied to the rescheduled booking. Postponements requested fewer than 14 days before the original event date may incur additional costs.

 

8. Consultations

Free Discovery Calls are offered at no charge and are intended for introductory purposes only. A paid consultation (Pick My Brain) is available for detailed business or event advisory sessions and is charged at the current published rate.

Paid consultations must be booked and paid for in advance. Failure to pay does not guarantee a consultation slot.

 

9. Scope of services

The services to be delivered are those set out in the accepted quotation. Any additions or changes to the original scope requested after the booking is confirmed may result in a revised quotation and additional charges.

Kwa Kuhle Group provides catering, décor, and event management services only. No warranties are made regarding third-party venues, suppliers, or services not directly provided by Kwa Kuhle Group.

 

10. Our responsibilities

Kwa Kuhle Group will:

  • Deliver the agreed services with reasonable skill and care
  • Communicate clearly and promptly regarding your booking
  • Notify you as soon as possible of any circumstances that may affect our ability to deliver

 

11. Limitation of liability

Kwa Kuhle Group’s liability for any claim arising from our services is limited to the value of the services paid for. We are not liable for indirect losses, including loss of enjoyment or consequential damages, except where required by law.

We are not responsible for circumstances beyond our reasonable control, including severe weather, civil unrest, supplier failure, or any other force majeure event.

 

12. Client responsibilities

The client is responsible for:

  • Providing accurate event details at the time of enquiry and updating us promptly if these change
  • Ensuring venue access and any required permissions are in place
  • Ensuring that all guests and attendees behave respectfully toward our staff
  • Making payments on time as agreed

 

13. Photography and marketing

Kwa Kuhle Group may photograph events we cater or style for the purposes of marketing and portfolio use, including on our website and social media. If you do not wish your event to be photographed for this purpose, please notify us in writing before the event date.

 

14. Governing law

These Terms & Conditions are governed by the laws of the Republic of South Africa. Any disputes arising from these terms will be subject to the jurisdiction of the South African courts.
